Payment

When you reserve your trek with us, we ask for a deposit (or full payment if you prefer) at the time of booking. The remaining balance is due once you arrive in Kathmandu, before your trip sets off.

We accept all major international currencies — USD, EUR, GBP, SGD, CAD, and AUD — at the exchange rate applicable on the day you pay. If you choose to pay by credit or debit card, please note a 3.5% processing fee is added to cover bank charges. Bank transfer is the most cost-effective option if you would like to avoid this.


Porter Weight Limit

Our porters are the backbone of every trek we run, and we take their wellbeing seriously. Each porter can carry a maximum of 20 kg. We ask all our guests to pack thoughtfully and with consideration for the people carrying your bags up the mountain. If you are unsure what to bring, our team is always happy to help you with a packing list before departure.


Cancellation Policy

We know life happens. Emergencies, illness, family situations — sometimes a trip just cannot go ahead, and we completely understand. Here is how we handle it:

Cancelling more than 72 hours before departure: You will receive a full refund minus any transaction or bank transfer fees. No questions asked.

Cancelling within 48 hours of departure, or after you have arrived in Kathmandu and settled your full payment: We will refund whatever is left after deducting any costs we have already committed to on your behalf — for example, domestic flight cancellation fees, hotel reservation charges, or advance payments made to your porter team. We will always be transparent about exactly what has been spent.

Once a refund is approved, we process it right away on our end. Please allow 7 to 15 working days for the funds to clear through your bank — this is outside our control, but we will send you confirmation as soon as it leaves our side.


Early Return

If you need to cut your trek short for any reason — whether that is altitude, health, or personal circumstances — we fully support your decision and your safety always comes first. However, we are unable to offer refunds for unused days in this situation. The reason is straightforward: your guide and porter team has committed their time for the full duration booked, and they are paid for those days regardless of whether the trek is completed. We appreciate your understanding on this.


Domestic Flight Delays

Mountain weather is the one thing nobody can control — not us, not the airlines, not the pilots. Flights into areas like Lukla and Jomsom can be delayed or cancelled at short notice due to poor visibility, wind, or sudden cloud cover. It is simply part of trekking in the Himalayas.

If your flight is delayed or cancelled for weather reasons, any additional hotel nights required in Kathmandu or at the trailhead will be at your own expense. We always recommend building at least one buffer day into your return travel plans for exactly this reason — and we are happy to advise you on this when planning your trip.


Travel Insurance

Having comprehensive travel and medical insurance is not optional for trekking in Nepal — it is essential. Your policy should cover emergency helicopter evacuation and high-altitude medical treatment, as these costs can be significant. Our booking form will ask for your insurance provider details and policy number before your departure.

Nepal Visuals provides insurance coverage for all of our guides and porter staff. Your personal insurance covers you.
