Nepal Visuals is a government-licensed trekking operator based in Thamel, Kathmandu, Nepal. We organise and operate trekking, hiking, and mountaineering experiences in the Himalayas for international clients. References to "Nepal Visuals", "we", "us", or "our" in this policy refer to Nepal Visuals and its staff.

2. Information We Collect

We collect personal information in the following situations:

When you make an enquiry

Your name, email address, and phone number
The trek you are interested in and your preferred travel dates
Any messages you send us via our contact form, email, or WhatsApp

When you make a booking

Full legal name as it appears on your passport
Passport number, nationality, date of birth, and passport expiry date (required for permit applications)
Emergency contact name and phone number
Travel insurance provider and policy number
Dietary requirements, medical conditions, and fitness level (where relevant to your safety on the trek)
Payment details (processed securely — we do not store card numbers)

When you use our website

Browser type, device type, and IP address
Pages visited, time spent, and referring URLs
Cookie data (see Section 7 below)

3. How We Use Your Information

We use the information we collect for the following purposes:

To process and manage your booking — confirming your trek, arranging permits, booking domestic flights, and coordinating your guide and porter team.
To communicate with you — sending booking confirmations, pre-trek briefings, packing lists, and important updates about your trip.
To meet legal and regulatory requirements — permit applications require passport details submitted to the Nepal Government, Sagarmatha National Park, and relevant conservation authorities.
To ensure your safety on the trek — medical and dietary information is shared with your guide so they can respond appropriately in an emergency.
To improve our services — anonymised usage data from our website helps us understand what information is most useful to trekkers.
To send you relevant information — if you opt in, we may send you updates about new treks, seasonal departures, or relevant content. You can unsubscribe at any time.

We share your personal information only where necessary to deliver your trek:

Nepal Government permit authorities — your passport details are required for Sagarmatha National Park permits, TIMS cards, and restricted area permits.
Domestic airlines — your name and passport details are required for flight bookings (e.g. Lukla, Jomsom).
Your assigned guide — your emergency contact, medical notes, and dietary requirements are shared with your guide before departure.
Payment processors — payment transactions are handled by Stripe. We do not store card numbers. Please review Stripe's privacy policy at stripe.com/privacy.
Accommodation partners — teahouse bookings require your name and group size.

We do not sell, rent, or trade your personal information to any third party for marketing purposes.

5. How Long We Keep Your Data

Booking records including passport details and payment history are retained for 5 years to comply with Nepalese business and tax regulations.
Enquiry data (where no booking was made) is held for 12 months and then deleted.
You may request deletion of your data at any time by contacting us — subject to any legal retention obligations.

6. Data Security

Your data is stored in a secured cloud database with access controls, encryption at rest, and regular security reviews. We use Supabase for database infrastructure and Stripe for payment processing — both of which maintain industry-standard security certifications. Access to client data is restricted to Nepal Visuals staff who need it to manage your booking.

No system is perfectly secure, and we cannot guarantee absolute security, but we take all reasonable steps to protect your information.

Our website uses cookies — small text files stored on your browser — to help us understand how visitors use the site and to remember your preferences.

Essential cookies: Required for the website to function. These cannot be disabled.

Our website may contain links to third-party websites including Instagram, WhatsApp, Tripadvisor, and others. We are not responsible for the privacy practices of those sites. We encourage you to review their individual privacy policies.

We may update this privacy policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the "Last updated" date at the top of this page. For significant changes, we will notify active clients by email.
