Before you book with us, please take a few minutes to read through these terms. We have tried to write them in plain language rather than legal jargon, because we think you deserve to know exactly what you are agreeing to. 1. Booking & Payment
To secure your place on a trek, we require a deposit at the time of booking. The remaining balance is due on arrival in Kathmandu, before your trek departs.
- A deposit or full payment is required at the time of booking through our booking system.
- The outstanding balance must be settled in Kathmandu prior to your trek departure date.
- We accept all major international currencies including USD, EUR, GBP, SGD, CAD, and AUD, converted at the exchange rate applicable on your payment date.
- Payments made by credit or debit card are subject to a 3.5% processing fee to cover bank charges. Bank transfer avoids this fee entirely.
2. Cancellation Policy
We understand that life is unpredictable. Emergencies happen, plans change, and sometimes a trip cannot go ahead. Our cancellation policy is designed to be as fair as possible given the commitments we make on your behalf.
- Cancellation more than 72 hours before departure: Full refund minus any transaction or bank transfer fees incurred.
- Cancellation within 48 hours of departure, or after arrival in Kathmandu: We will refund the balance remaining after deducting any costs already committed on your behalf — including domestic flight cancellation fees, hotel reservation charges, and advance payments to your porter team. We will provide a full itemised breakdown of deductions.
Once a refund is approved, we process it immediately on our end. Please allow 7 to 15 working days for funds to clear through your bank — this timeline is outside our control, but we will send you written confirmation as soon as the refund is dispatched.
3. Early Return
If you need to cut your trek short for any reason — altitude sickness, injury, personal emergency, or simply a change of heart — we will support your decision fully and ensure you are safely returned. However, we are unable to offer refunds for unused days in these circumstances. Your guide and porter team have committed their time for the full duration booked and are compensated accordingly regardless of whether the trek is completed in full. We appreciate your understanding of this.
4. Porter Weight Limit
Our porters are the backbone of every trek we run, and their wellbeing is non-negotiable. Each porter is permitted to carry a maximum of 20 kg of client luggage. We ask all guests to pack thoughtfully with this in mind. If you are uncertain about what to bring, our team is happy to provide a detailed packing list and guidance before departure.
5. Domestic Flight Delays
Mountain weather is the one variable nobody can control. Flights into high-altitude airstrips such as Lukla and Jomsom are weather-dependent and can be delayed or cancelled at short notice due to cloud cover, wind, or poor visibility. This is an inherent part of trekking in the Himalayas rather than an exception.
Should your domestic flight be delayed or cancelled for weather-related reasons, any additional accommodation costs incurred as a result are at your own expense. We strongly recommend building at least one buffer day into your return travel plans and not booking onward international flights the same day as your Lukla or Jomsom return. Our team is always available to advise on this.
6. Travel Insurance
Comprehensive travel and medical insurance is not optional for high-altitude trekking in Nepal — it is essential. At minimum, your policy must cover emergency helicopter evacuation and high-altitude medical treatment, as these costs can be substantial. Our booking form will request your insurance provider name and policy number before your departure date.
Nepal Visuals provides insurance coverage for all of our guides and porter staff. Your personal insurance policy covers you as the client.
7. Health & Fitness
You are responsible for ensuring you are in suitable physical condition for the trek you have chosen. Please review the difficulty rating and altitude profile for your selected route carefully. If you have any pre-existing medical conditions, we recommend consulting your doctor before booking. We reserve the right to advise a client to descend or return if our guides determine that continuing poses a serious risk to their health or safety.
8. Itinerary Changes
Nepal Visuals reserves the right to modify itineraries where necessary due to safety concerns, adverse weather, political situations, natural events, or circumstances beyond our control. Where an itinerary change results in additional costs, these will be discussed with you transparently. We will always act in your best interests when making such decisions.
9. Liability
Nepal Visuals operates as a licensed trekking operator registered with the Government of Nepal. Trekking in high-altitude mountain environments involves inherent risks including altitude sickness, adverse weather, difficult terrain, and physical exertion. By booking with us, you acknowledge these risks and accept responsibility for your own participation. Nepal Visuals and its staff shall not be held liable for loss, injury, illness, or death arising from participation in any trekking activity where reasonable care has been exercised by our team.
10. Governing Law
These terms are governed by the laws of Nepal. Any disputes arising from bookings with Nepal Visuals shall be subject to the jurisdiction of the courts of Kathmandu, Nepal.
